Every case, every task, every email — in one place.
CaseOnGo is a case management platform for teams whose work is organised around cases — law firms, claims handlers, medico-legal practices and professional services. Model your matters exactly the way you work, automate the routine, and keep a complete history of everything that ever happened on a case.

The platform
Run your entire caseload from one system
Everything below is included in the core platform — and every module is covered in depth in the platform guide.
Cases & case types
Define a case type for every kind of matter you handle. Every case gets a clean sequential reference — or a custom one — plus linked family cases like 000123.001, even across different case types.
How cases work →Custom screens & fields
Design your own data screens with a drag-and-drop designer. Fifteen field types — from dates and options to repeating tables, time recording, linked cases and embedded documents.
Screens & fields →Workflow automation
Automations fire when a case is created, opened, updated or closed, when a field changes, on a schedule — or at the click of a button. Conditions via a visual rule builder; power users get full scripting.
Automation →Tasks & diaries
Seven task actions — to-dos, memos, letters, emails, calls, incoming post and automations — assigned to people or teams with due dates, plus diary follow-ups tied to correspondents.
Tasks & diaries →Outlook email & triage
Connect your own Microsoft Outlook mailbox — and shared mailboxes — to send and receive on cases. Inbound mail is matched to the right case by reference; anything unmatched waits in a triage inbox.
Email & triage →Documents & templates
Letters, memos and emails from templates that fill themselves from case data — including conditional paragraphs. Overlay text onto PDF forms, preview PDFs, Word and Excel files in-app.
Documents →Queries & reports
Ask your caseload anything: saved queries with nested criteria and runtime parameters, exported to Excel or CSV — and formal reports with grouping, totals and charts, delivered as PDF on a schedule.
Queries & reports →Teams, roles & permissions
Invite your whole team, group them into teams for assignment, and control exactly who can do what with granular role permissions. Sign-in is backed by Microsoft Entra ID.
People & permissions →History & audit
Every send, save, note, task and automation run lands on the case history — who, what and when. Searchable, paged and permanent: the complete story of the case in one timeline.

A closer look at a day in CaseOnGo
A workspace built around the case
Open a case and everything about it is on one screen — your designed data screens, the people involved, documents, tasks and the full history.
- Screens made for your work — each case type shows the screens you designed for it, nothing generic.
- History is the home view — the case opens on its timeline, so you see the latest activity first.
- Notes, assignments & sharing — leave notes for colleagues, assign owners, share externally.
- No two people overwrite each other — a case lock warns when someone else is editing.
- Family cases — spin off linked siblings like 000123.001, even as a different case type.
Let the routine run itself
Anything your team does the same way every time can become an automation — created visually, or scripted when you need real power.
- Triggers everywhere — on case create, open, update and close, when a field changes, on a cron schedule, or run by hand.
- Seven task actions — to-do, memo, letter, email, call, incoming post and run-automation, assignable to people or teams.
- Visual rule builder — nested and/or conditions over your own fields; no code needed.
- Scheduled routines — run a saved query on a timer and apply an automation to every matching case.
- Full scripting underneath — JavaScript automations with access to fields, tasks, documents and even accounting entries.
Email that files itself
Correspondence lives on the case, not in someone's personal inbox. CaseOnGo works with the Outlook accounts you already have.
- Your mailbox, connected — each user connects their own Outlook; email sends and receives on their behalf.
- Shared mailboxes too — monitor claims@ or info@ addresses in triage and send case email from them.
- Automatic matching — inbound mail carrying a case reference files itself; you can add your own matching fields.
- Triage for the rest — unmatched mail waits in a triage inbox to be routed, replied to, or discarded.
- Templates that write themselves — emails and letters fill from case data, with conditional paragraphs per case.
- Paper post handled — scan and record incoming post straight onto the case with the same flow.
Answers, not spreadsheets
Your caseload can answer questions directly — no exporting into spreadsheets and rebuilding the same analysis every month.
- Saved queries — nested criteria over any field, with runtime parameters like "which handler?" and smart values like @today.
- Excel & CSV in one click — export all results or just the rows you select; run bulk actions on the rest.
- Proper reports — grouping with subtotals, grand totals, bar/pie/line charts, and print-ready PDF layouts.
- On a schedule — reports render and email themselves to the right people; task digests keep everyone honest.
- Your day at a glance — the home dashboard shows overdue tasks, recent cases, favourites and your own pinned query tiles.
Grow when you're ready
Three add-ons that plug straight in
The core platform runs your cases. When you want more, each add-on switches on per organisation — no migration, no second system.
Accounts & Xero
A full double-entry accounting module living beside your cases: invoices, bills, payments, credit notes, banking, VAT returns, P&L, balance sheet, client money with controls — plus case-level billing with rate cards.
- Two-way Xero sync — push invoices out, see payment status back
- Per-case financials: money in vs money out at a glance
- Automations can post accounting entries too
AI Assistant & Builder
Two assistants, one per job: ask questions about a case in plain language, and let the builder assistant draft case types, screens and automations with you — with your approval on every change.
- Case chat grounded in the case's own data
- Builder sessions you can resume — and revert
- Monthly credit caps so spend stays predictable
Collaborate portal
Give clients, experts and other firms their own secure portal at yourfirm-collaborator.caseongo.com. They see exactly the screens you share — nothing else.
- Per-share control: hide fields or make them read-only
- Collaborators can update shared screens and upload documents
- Their changes land on the case history like everyone else's

Your workspace is provisioned
You get yourfirm.caseongo.com — an isolated workspace with your own data schema and Microsoft Entra sign-in.
Model your cases together
We help you build your case types, screens, templates and automations — and import existing cases from CSV.
Your team goes live
Everyone signs in with their Microsoft account, connects Outlook, and works their first cases with us on hand.
Security & trust
Your cases are your business — and only yours
Isolated by design
Every organisation gets its own database schema. Your data is structurally separated from every other customer — not just filtered by a flag.
Microsoft Entra sign-in
Staff sign in with their Microsoft work accounts — the same identity, MFA and controls your IT team already manages.
Granular permissions
Roles decide who can run queries, manage settings, reschedule tasks, see accounts or invite collaborators — down to individual capabilities.
Everything on the record
Every action on a case is written to its permanent history with actor and timestamp — your audit trail is built in, not bolted on.
Runs on Microsoft Azure
Hosted on Azure App Service with encrypted connections end to end and managed TLS certificates on every tenant address.
External access, fenced
Collaborators authenticate separately, see only shared screens with your field-level controls, and can never touch tasks, history or other cases.
Questions
Asked a lot
Can we keep our existing case reference numbers?
Yes. You choose the number the sequence starts from, and you can give any case a custom reference (for example one carried over from an old system) at the moment you open it. New cases simply take the next free number.
Does it work with the Outlook accounts we already use?
Yes — each user connects their own Microsoft Outlook mailbox, and you can also monitor shared mailboxes like claims@ or info@. Mail sends from your real addresses and inbound mail files itself onto the right case.
Can clients or other firms see a case?
With the Collaborate add-on, yes — through their own portal sign-in. You decide per share which screens they see and which fields are hidden or read-only. They never see tasks, internal notes or anything you didn't share.
Can we import the cases we already have?
Yes. Existing cases can be imported from CSV per case type — reference, title and your custom fields — as part of onboarding, so you don't start from an empty system.
Is our data separated from other organisations?
Structurally, yes: each organisation's data lives in its own database schema, and every request is scoped to your workspace. Add-ons, roles and permissions are all per organisation too.
What does it cost?
Pricing depends on team size and which add-ons you need, so we'd rather give you a real number than a misleading table — send us a message and we'll come back with a straightforward quote.
